Use WhatsApp for messages that benefit from immediacy
Short operational updates—an absence alert, a payment reminder, a schedule change, or an admission status update—fit the channel well. Long policies and sensitive records are usually better placed in the parent app or a secure portal, with WhatsApp used only to point families to them.
Consistency matters more than frequency. Parents should recognize who sent the message, why they received it, and what action is expected.
Control templates and recipients
A school-wide broadcast should not depend on a staff member copying numbers into a personal phone. Use approved templates, role-based sending permissions, and audience filters based on current school records.
Before sending, preview variables such as student name, due date, or class. A missing value can make a valid template confusing, and a broad audience error can expose information to the wrong recipients.
Keep consent, privacy, and delivery history visible
Maintain current guardian numbers and communication preferences. Record the template, audience, sender, time, and delivery result so the office can answer questions without relying on screenshots from individual devices.
