Choose the channel by the job it must do
SMS is useful for short, urgent information and can reach basic phones, but it offers limited formatting and context. WhatsApp supports richer approved messages and familiar parent interaction, while an in-app inbox can keep longer notices and school records inside an authenticated experience.
The best choice depends on urgency, sensitivity, expected action, consent, reach, and cost—not simply which channel has the highest open rate.
Create a communication policy parents can understand
Tell families which channel the school uses for emergencies, routine notices, fees, attendance, and detailed records. When every channel carries every message, parents receive duplicates and may ignore the one that matters.
Maintain one current source for guardian contact details and preferences. Staff should select an audience from school records instead of maintaining personal contact lists.
Measure delivery and response
A sent message is not always a received or understood message. Review delivery failures, outdated numbers, app registration, repeated reminders, and the questions generated by each campaign. These signals help the school improve both its data and its wording.
