Agreement and authority
By accessing or using SkoolMatic, you agree to these terms and the Privacy Policy. If you use the service for a school or organization, you confirm that you are authorized to act for it and that the organization is responsible for its users. Commercial proposals, order forms, subscriptions, or written service agreements may contain additional terms; where they conflict, the specifically agreed commercial document controls for that subject.

Accounts and access
Accounts may be used only by the person or role to whom they are assigned. Users must provide accurate information, protect credentials and one-time codes, maintain secure devices, and notify the school and SkoolMatic promptly about suspected unauthorized access. Schools are responsible for creating, reviewing, and removing user access and for actions performed by their authorized users.

School responsibilities and lawful data use
Schools must use SkoolMatic only for lawful educational and administrative purposes. They are responsible for the accuracy of records they provide, notices and permissions required from staff, parents, guardians, applicants, and students, and compliance with rules applicable to their operations. A school must not upload information it is not authorized to process or instruct SkoolMatic to send unlawful, deceptive, abusive, or unsolicited communications.

Plans, payments, and third-party charges
Available modules, limits, support, storage, messaging, calling, websites, and add-ons depend on the active plan and configuration. Review the plan price, taxes, billing period, usage limits and renewal terms before paying. Subscription and top-up payments are non-refundable except as required by law, for a verified billing error, or where a written agreement expressly provides otherwise. The Refund Policy explains cancellations and exceptions. SMS, WhatsApp, payment-gateway, domain, and other provider charges may change when an external provider changes its rates or rules.

Subscriptions, cancellation and top-ups
Subscription payments cover the purchased service period. Cancelling, downgrading, choosing not to use the service, or using only some features does not create a refund or a pro-rata credit for the unused period. Request cancellation of future renewals through the available billing controls or support@skoolmatic.com before the next renewal is processed. Cancellation does not automatically delete school data. Top-ups purchase the specified usage, credits or capacity; they are not a bank deposit and cannot ordinarily be withdrawn as cash, transferred to another school or refunded because they are unused. Any validity period, expiry or usage restrictions must be disclosed in the applicable purchase terms. These rules are subject to mandatory legal rights, verified payment errors and any express written commitment.

Demo bookings and contact permission
A demo request does not purchase a subscription or commit your school to onboarding. A requested time becomes a confirmed meeting only when we send confirmation. You must supply contact details you are authorized to use and complete the required verification and agreement steps. With the permission recorded on the form, we may send booking updates and private meeting links by email and WhatsApp and contact you about your request and related onboarding. Keep meeting links private. A demo's features do not replace the modules, prices or service commitments stated in your final order.

Communications and integrations
Schools may configure SkoolMatic to send in-app, email, SMS, WhatsApp, call, or meeting notifications. The school is responsible for recipients, message content, templates, consent, and delivery settings. Delivery can be delayed, rejected, filtered, or limited by networks and third-party providers. Integrations remain subject to provider approvals, policies, availability, and account quality requirements.

Acceptable use
You must not attempt unauthorized access; interfere with security or service availability; introduce malicious code; scrape, copy, reverse engineer, or resell the service except where expressly permitted; impersonate another person; upload unlawful or infringing material; misuse student or contact information; evade plan limits; or use the platform for spam, harassment, discrimination, fraud, or other harmful activity.

Availability and changes
We work to keep SkoolMatic reliable, but uninterrupted or error-free operation is not guaranteed. Maintenance, security incidents, internet failures, device limitations, third-party outages, or events outside reasonable control may affect availability. Features may be improved, replaced, limited, or discontinued, and reasonable notice will be provided when a material change significantly affects an active paid service where practicable.

Ownership and content
SkoolMatic and its licensors retain rights in the platform, software, design, documentation, and branding. Schools retain rights they have in the records and content they submit. The school grants SkoolMatic the limited permission needed to host, process, transmit, back up, and display that content solely to provide, secure, support, and improve the contracted service.

Suspension and termination
Access may be limited or suspended for overdue payment, security risk, unlawful use, material breach, provider restriction, or conduct that could harm users or the service. When service ends, account access and data export or deletion are handled under the applicable agreement, Privacy Policy, retention requirements, and reasonable technical procedures.

Responsibility and disputes
To the extent permitted by applicable law, each party is responsible for losses caused by its breach, negligence, unlawful conduct, or misuse of the service. SkoolMatic is not responsible for decisions made solely from school-entered data, third-party outages, or indirect losses that could not reasonably have been anticipated. Any mandatory consumer or statutory rights remain unaffected. The applicable commercial agreement may specify governing law, venue, warranties, service levels, and liability limits.

Changes and contact
We may update these terms to reflect platform, provider, security, commercial, or legal changes. The current version and effective date will be published here, and material changes may be communicated through the platform or registered contact details.
