Build the fee structure before collecting money
Define the academic year, classes, fee heads, schedules, optional services, concessions, and late-fee rules before opening collection. This gives staff and families the same explanation of what is due.
Do not hide special cases in notes. Transport, sibling concessions, scholarships, opening balances, and mid-year admissions should have an explicit and reviewable treatment.
Make every adjustment traceable
A receipt is only one event in the fee ledger. Staff may also need to record partial payments, online references, bounced payments, cancellations, refunds, or corrected allocations.
The system should preserve the original transaction and show who made each later change. Silent editing makes reconciliation difficult and weakens trust when a family questions its balance.
Use reports to answer operational questions
Useful finance reporting connects totals to the underlying students and transactions. The team should be able to move from a collection summary to a fee head, class, payment method, receipt, or outstanding account without rebuilding the answer in a spreadsheet.
